We have an exciting opportunity for an Operations Administrator to join our team in APT Skidata. This is an important role, where you will be providing a timely, and effective administrative support to the Projects and Service departments. It is a multi-faceted role, requiring teamwork, collaboration, and adaptability to ensure that the needs of internal stakeholders and customers are met.

Key Responsibilities

  • Work within a designated regional team (North or South) with a focus on specific regional needs
  • Provide support to other regions, ensuring operational continuity and efficiency across the organisation
  • Collaborate with Service and Projects champions to effectively support each region
  • Streamline and own the processing of field, sales orders and build quotations
  • Promote active monitoring and progression of all quotes for closure
  • Manage Service and Project Inboxes, handling incoming calls and queries
  • Coordinate with subcontractors, customers, and internal teams
  • Manage team schedules
  • Monitor open calls and projects for timely progression and closure
  • Schedule and communicate workloads for field engineers and project teams (dispatch)
  • Ensure delivery of customer service levels and maximise team utilisation
  • Document and record all project activities, ensuring compliance with quality, health, safety, and environmental policies
  • Proactively monitor and manage aged service calls to prevent delays and ensure timely resolution
  • Implement strategies to reduce the number of aged calls and maintain service efficiency
  • Adhere to Key Performance Indicators (KPIs) across both project and service functions
  • Assist in regular reviews and analysis of performance metrics to identify areas for improvement and ensure targets are met
  • Co-ordinate the Project Managers activities, liaising as appropriate with all parties to ensure customer satisfaction
  • Record receipt of orders using the Forecast Sheet & WIP spreadsheet
  • Document all contract additions and variations
  • Support Project Manager with all relevant project documentation (project packs, order acceptance letters, WIP)
  • Management of orders and stock
  • Updating the Projects tracker and loading Projects onto company systems

 

Your Profile

Your Profile

  • Previous experience of working as an administrator 
  • Proactive, collaborative mindset with strong teamwork abilities
  • Organised, structured approach with a focus on problem-solving
  • Effective communication skills, including telephone etiquette
  • Energetic, dynamic, assertive, with the ability to influence and support team members
  • Proficiency in MS Office Suite (Word, Excel, Project desirable), with strong data input and organisational skills
  • High level of attention to detail and a methodical approach
  • Experience of Service Management/CRM
  • A confident and well organised individual who can multi-task, prioritising tasks according to business needs
  • Be a team player with a friendly and helpful disposition
